What the format looks like

At Mindwave Vault Zone, the retainer includes four 60-minute calls per quarter, a standing shared workspace in Notion, and written notes sent within 24 hours of each session. The calls are not status updates. They are working sessions. The client brings a question or a decision. We work through it together. The notes capture the reasoning, not just the conclusion.

The value of accumulated context

The biggest difference between a retainer and a one-off project is context. In a one-off project, the consultant spends the first week learning the organisation. In a retainer, that learning compounds. By the third quarter, the advisor knows the history of the decisions, the dynamics of the team, and the assumptions that tend to get the client into trouble. That knowledge makes every session faster and more useful.

Who it is right for

The retainer works best for founders and senior leaders who make a lot of consequential decisions and do not have a peer inside the organisation to think with. It is not right for someone who needs a specific deliverable or a structured project. It is right for someone who wants a regular, low-friction thinking session with someone who already knows the context and will give them a straight answer.

What it is not

A retainer is not a hotline. It is not unlimited access. It is four structured sessions per quarter, with written notes. Between sessions, the shared vault is available for async questions, but the expectation is that the main work happens in the calls. If you need more intensive support, a project engagement is a better fit.

How to know if you are ready for one

The clearest sign that a retainer is the right fit is if you find yourself wishing, after a one-off project, that you could keep the conversation going. If the project ended and you immediately had three more questions you wanted to work through, a retainer is probably the right next step.
